General Information
Your First Appointment
Your first session at the CEVENE CARE CLINIC will allow us to gain an understanding of your concerns, problems and symptoms. It is usually scheduled to be 30 to 40 minutes long. During this time, we will work with you to develop a plan of treatment, including medication (if indicated).

Follow-up Appointments
These are usually 10 to 40 minutes in duration, depending on specific needs, and consist of monitoring your progress as you follow a program of prescribed medication and/or therapy. Follow-up appointments will be scheduled at the intervals agreed upon by you and your Cevene healthcare professional each time you are seen. To schedule an appointment, call, fax or email us.
Cancellations, Rescheduled Appointments and Late Arrivals
- Appointments must be rescheduled or canceled at least 24 hours in advance by phone or fax. The 24 hours is defined to include cancellations left on voice mail or faxed prior to 10:00 pm the evening before an appointment.
- Cancellations the day of the appointment, email cancellations dated less than 3 days in advance and appointments missed without notice will be charged in full (insurance does not pay for these).
- We strive to stay on time as much as possible. We ask that you come right at your appointment time (or a few minutes early) so that our schedule (and other patients) are not delayed. Anyone arriving up to 10 minutes late will still be seen, though your time will be shortened. If you arrive more than 10 minutes late, we may choose to reschedule your appointment for another time. Repeated too-late arrivals will be charged for even if you are not seen.
Questions and Prescription Refills
For general questions and requests for prescription refills, call our office from 9:00 am - 12:00 pm and 2:00 pm - 6:00 pm, Monday through Friday. For your convenience, our staff handles refill requests. Call us with your request, and one our staff members will gladly contact your pharmacy.
Payment for Services
Most health insurance is accepted at the CEVENE CARE CLINIC. For your convenience, we handle the filing of insurance claims. Prior to beginning a program of treatment, we will establish with your insurance carrier the extent of your coverage and will discuss with you in detail the various options. We expect that you will pay your copay at the time of service, plus any charges not covered by insurance. We accept cash, check, Visa or MasterCard.
Email Guidelines
- Email should be used for routine matters only. For urgent concerns or requests, always phone or fax us.
- Email is reviewed every 48 to 72 hours. When your email is received, a pre-programmed reply is sent back to verify that your message has gotten through.
- We will then send you an answer to your question or a return message that a task has been completed (for instance, an appointment scheduled).
- Please put a category in the subject line of your email (such as "appointment," "medication question," "prescription refill," etc.). This helps us to divide responsibilities for answering the email. Our secretary deals with prescription refills and appointment requests. The appropriate healthcare professional answers any questions about medications, side effects or other clinically related questions.
- Appointment cancellations must be emailed at least 3 calendar days before the appointment to avoid a missed-appointment charge. If you need to cancel an appointment 1 to 2 days prior to its scheduled time, please call the office to ensure that we are aware and that we won't charge you.
- Please configure your email account to send us a pre-programmed reply when you are in receipt of our emails, so that we know they have arrived.
- All email messages will be printed out and become part of your patient record. They will be treated as any other part of the medical record, and will be held in the strictest confidence unless released by your signature to be shared with other professionals who participate in your care.
- We are always interested in feedback or suggestions to make this service more efficient and responsive to your needs.
